Privacy Policy

Last updated: September 2026

Studio 25 (“we”, “us”, “our”) is committed to protecting your privacy. This policy explains what personal information we collect when you visit our website, book a class, or contact us, how we use it, and the rights you have over it.

We are the “data controller” of your personal information for the purposes of the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Who we are

Studio 25 is a reformer Pilates studio in Doncaster, operating as part of Sydney House Wellness.

  • Address: Sydney House, 25 Thorne Road, Doncaster, DN1 2EZ
  • Email: studio25@sydneyhousewellness.co.uk

The information we collect

Depending on how you interact with us, we may collect:

  • Contact details — your name, email address, phone number, and postal address.
  • Booking information — the classes and sessions you book, attendance, class packages or memberships, and your booking history.
  • Payment information — card and billing details needed to process payments. These are handled securely by our booking and payment providers; we do not store your full card details ourselves.
  • Health and suitability information — where relevant, details about injuries, medical conditions, pregnancy (including pre- and post-natal status), or other health factors you share with us so we can deliver classes safely and adapt sessions to you. This is treated as “special category” data and handled with extra care (see below).
  • Enquiries and correspondence — anything you tell us through our contact form, by email, over the phone, or via social media.
  • Gift voucher details — the purchaser’s and recipient’s details when you buy or redeem a voucher.
  • Marketing preferences — whether you’ve opted in to receive updates and offers from us.
  • Website usage data — technical information collected automatically, such as your IP address, browser type, device, and how you use our site. See the Cookies section below.

  • Taking payment and issuing refunds
  • Responding to enquiries and providing customer support
  • Keeping you safe and adapting classes to your needs
  • Sending marketing emails and offers

  • Improving our website and understanding how it’s used
  • Preventing fraud and keeping our systems secure

  • Explicit consent (for health information)
  • Consent (you can opt out at any time)
  • Legal obligation
  • Legitimate interests / consent (for non-essential cookies)
  • Legitimate interests

Health information

Because we run classes that can be affected by injury, pregnancy, and medical conditions, we may ask you for health information so we can keep you safe and tailor your sessions. This is “special category” personal data and receives additional protection under UK GDPR.
We only collect health information where you provide it, we rely on your explicit consent to use it, we share it only with the instructors who need it to deliver your sessions safely, and you can withdraw your consent at any time by contacting us (though this may affect our ability to offer you certain classes).

Cookies and analytics

Our website uses cookies and similar technologies. Some are essential for the site and booking system to work; others help us understand how the site is used or support embedded content.

  • Essential cookies — required for the website and the embedded booking system to function.
  • Booking system cookies — set by Gymcatch to run the booking widget on our site.
  • Analytics cookies — e.g. Google Analytics, to help us see how visitors use the site so we can improve it.
  • Third-party content — fonts, maps, or social media embeds may set their own cookies.

You can control or delete cookies through your browser settings, and where we use non-essential cookies we’ll ask for your consent via our cookie banner.

Who we share your information with

We don’t sell your personal information. We share it only with trusted providers who help us run the studio, and only as far as they need it to do their job. These include:

  • Gymcatch — our class booking and scheduling platform.
  • Our payment provider — to process card payments securely.
  • Our website host — where our website and any data submitted through it is stored.
  • Our email and marketing tools — to send booking confirmations and, where you’ve opted in, marketing.
  • Our accountant and professional advisers — where needed for accounting and legal compliance.

We may also disclose information where we’re legally required to, or to protect our rights, property, or safety.

Each of these providers acts as our “data processor” and is required to keep your information secure and use it only on our instructions.

Payments

Payments are processed securely by our booking and payment providers. We don’t see or store your full card details. Please refer to your payment provider’s own privacy policy for details of how they handle your information.

Marketing

If you’ve opted in, we may send you occasional emails about classes, offers, and studio news. You can unsubscribe at any time using the link in any marketing email, or by emailing us. Opting out of marketing won’t affect essential messages such as booking confirmations.

How long we keep your information

We keep your personal information only for as long as we need it:

  • Booking and account records — for as long as you’re an active client and for a reasonable period afterwards.
  • Financial and transaction records — for at least 6 years, to meet HMRC and accounting requirements.
  • Health information — only for as long as you’re attending classes with us, then securely deleted.
  • Marketing data — until you unsubscribe or ask us to remove you.
  • Enquiries — for a reasonable period to handle your query and any follow-up.

When we no longer need your information, we securely delete or anonymise it.

Storing and transferring information outside the UK

Some of our providers may store or process information outside the UK. Where they do, we make sure appropriate safeguards are in place (such as UK-approved contractual clauses or an adequacy decision) so your information receives an equivalent level of protection.

How we keep your information secure

We take appropriate technical and organisational measures to protect your personal information against loss, misuse, and unauthorised access. This includes secure hosting, restricted access, and using reputable providers. No system is completely secure, but we work to protect your data at all times.

Your rights

Under UK data protection law you have the right to:

  • access the personal information we hold about you
  • correct information that’s inaccurate or incomplete
  • erase your information (“right to be forgotten”) in certain circumstances
  • restrict or object to how we use your information
  • data portability — receive your information in a portable format
  • withdraw consent at any time, where we rely on consent
  • complain to the Information Commissioner’s Office (see below)

To exercise any of these rights, email us at studio25@sydneyhousewellness.co.uk. We’ll respond within one month.

Children

Our classes and services are aimed at adults. We don’t knowingly collect personal information from children without appropriate consent.
